Washington Legacy Rentals LLC respects the privacy rights of our customers and is committed to protecting your privacy. This Privacy Policy explains our data handling practices as a "Controller" of your Personal Data, as well as your rights associated with your data.

• This Policy covers information obtained in connection with our vehicle rental and associated services that identifies you as an individual.
• It does not apply to non-identifiable information.

2. Information We Collect
• We collect information via phone calls, apps, websites, and during reservations.
• Data includes name, address, payment card info, driver's license, pictures, employer details, and background data.

3. Purpose of Processing
• To deliver services you request.
• To communicate with you using your contact information.
• To analyze usage via cookies and improve website functionality.

4. Third-Party Disclosures
• Your information may be shared with service providers, discount sponsors, and marketing partners.
• May be monetized or used for joint advertising, with consent where applicable.

5. Security
• Reasonable measures are used to safeguard personal data.
• Physical, procedural, and electronic safeguards are maintained.

6. Data Retention
• Customer data is retained as long as necessary or permitted by law.

Cancellation and Change Policy

If you have already picked up your vehicle:
If you have already picked up your vehicle and wish to keep it longer, contact 260-209-4208 or 260-348-7898 to discuss availability.

If you have not picked up your vehicle:
You can view, modify, or cancel by contacting 260-209-4208 or 260-348-7898; please keep open communication so we can service your needs correctly.

Modifying your pick up or drop-off location, date, or time may change your rates, taxes, surcharges, or underage fees. Please speak with our associates to review a new rate quote.

Will I be charged if I cancel my reservation?
We are a first-come, first-served rental company that requires payment upfront for rental vehicles and items.

After receiving payment/notification, clients (renters) have 48 hours to cancel to receive 97% of their refund.

Clients (renters) will not be refunded after the 48th hour. A credit may be applied.

Clients can review a later date to use credit if communicated with Washington Legacy Rental Personnel.

Note: Credit must be used in the same physical year as the initial rental date.

Rental Agreement & Inspection Form

Term of Use:
The term of the Car Rental Agreement runs from the vehicle pickup date/time until its return, and all terms are fulfilled. Please review documents and ask for clarification if needed.

Vehicle Identification:
Vehicles include Ford Transit (Grey or White) and Chevrolet Express Van (White). Selection occurs during reservation.

Rental Term:
Begins at pickup and ends at return. Dates are defined per agreement and may be changed by mutual consent.

Scope of Use:
Vehicles are for personal or routine business use only. No subleasing or unauthorized drivers. Renter must obey all driving laws.

Mileage:
Unlimited mileage unless otherwise specified.

Rental Fees:
• $250/day base rate
• Fuel must be returned full or charged double the current gas rate
• Accessories charged per trip if applicable

Security Deposit:
• Applied toward damage if needed

Insurance:
Proof of insurance is required. Renter agrees to cover deductibles or assign claims to Washington Legacy Rentals LLC.

Indemnification:
Renter holds Washington Legacy Rentals LLC harmless from liability and agrees to pay citations, tickets, and legal costs incurred.

Warranties:
Vehicles are in good working order. Renters must be legally licensed and agree not to drive illegally or negligently.

Jurisdiction:
Disputes are handled under U.S. law within relevant courts. Unenforceable terms do not invalidate the rest.

Return:
Vehicle must be returned clean, fueled, and undamaged. A $300 cleaning fee applies if not returned in the same condition. No smoking allowed.

Entire Agreement:
This agreement represents the full contract unless modified in writing.

Exterior:
• No leaks, loose parts, leaning
• No windshield or mirror cracks
• All lights operational
• Tire tread & pressure checked

Interior:
• Safety belts working
• Dashboard indicators, AC/heater, horn, wipers
• Clean floor, secure seats

Safety Equipment:
• Fire extinguisher, first aid kit, road service kit
• Jack and lug wrench

Driver Prep:
• Adjust seats, mirrors, steering
• Ensure passengers are buckled

Important:
• No rooftop cargo or towing behind loaded vans
• Observe all traffic laws and represent WLR with professionalism

Damage Waiver

LOSS DAMAGE WAIVER

Loss Damage Waiver ("LDW") is not insurance and is not mandatory.
Suppose you accept full LDW by your initials on the rental document at the additional daily rate for each full or partial day the car is rented to you.
The vehicle is operated in accordance with the Agreement.
In that case, we assume responsibility for the loss of or damage to the car except, if permitted by law, for lost, damaged, or stolen keys or remote entry devices, towing or tire services (unless related to an accident), or recovery of the car if stolen (except in the state of Alaska), and except for your amount of "responsibility," if any, specified on the rental document.
If you do not accept either LDW, you owe for all loss or damage to the car. Loss and damage are described in the Rental Agreement.

You acknowledge you have been advised that your insurance may cover the car's loss or damage.
You also acknowledge reading the notice on loss damage shown on the rental document, in these Terms and Conditions, or a separate notice form.

Notices About Loss Damage Waiver (LDW)

The following section meets specific state requirements for disclosure.

California, Iowa, Indiana, Louisiana, Hawaii, Massachusetts, Minnesota, New York, Nevada, Rhode Island, and Texas:
Consumer Protection: Under the laws of these states, a personal automobile insurance policy MUST cover the rental of this motor vehicle against damage to the vehicle and loss of use of the vehicle.
Therefore, purchasing any loss damage waiver or insurance for the risk of possible loss or damage to the car covered by the Agreement is NOT necessary if your Policy was issued in one of these states.

You should check your vehicle insurance policy to review if the purchase of LDW would be duplicative of coverage afforded under your vehicle insurance policy.

NOTICE OF RIGHT TO INSPECT DAMAGE

If the car is damaged, we may not collect any amount for the damage unless you, or an authorized driver against whom we claim liability, have been promptly notified of your and your Insurers' right to inspect the unrepaired car within two working days after we were notified of the damage.
If you request, we must also give you a copy of any estimate we have obtained from a repair shop regarding any damage claim.
Within two working days of receiving the estimates, you may request a second estimate from a competing repair shop, and we must give you a copy of the second estimate.
